How to avoid 2 common data entry issues

WWC reviews the quality of data entered into eCaST each month to ensure the program is reimbursing appropriately and accurately for services your agency has provided. Below are tips for avoiding two common data entry issues identified through monthly review: 

1.  Importance of accurate enrollment, office visit (clinical cycle) and procedure dates: eCaST uses procedure and office visit (clinical cycle) dates to assess whether or not a case is payable in the current fiscal year. In most cases, the date of enrollment is on or precedes a client’s office visit and clinical services. If clinical services were not provided (i.e. you are requesting B1/C1 reimbursement for health education), be sure to enter the office visit date as the date education was provided. In some instances, for example when a client is referred into the WWC program for diagnostic workup, a client may be enrolled after some breast and cervical screening services were provided and potentially after the office visit has occurred. Please be sure all WWC-funded procedure dates are on or after the enrollment date. 


2.  Exiting (or being timed out of) a case without first reviewing reimbursement level: Review the reimbursement level for each case when you are finished entering data. This will ensure all cases are reimbursing at the highest level possible and will alert you if there are caution flags that may be withholding reimbursement. If your session times out, please return to the reimbursement level of the last case you were entering to ensure everything is saved.
